1. Introduction

Rofasware School ("we", "our", or "us") is a cloud-based educational management platform developed and operated by Rofasware. We are committed to protecting the privacy of educational institutions, administrators, educators, students, and guardians who use our mobile and web applications (accessible via school.rofasware.com).

2. Information We Collect

We only collect information necessary to fulfill school management and educational communication services:

• User & Account Information: Usernames, full names, email addresses, mobile numbers, and designated institutional roles (Super Admin, School Admin, Teacher, Student, Guardian).
• Academic & Administrative Records: Class schedules, section rosters, biometric and manual attendance logs, marksheet grades, examination tabulation sheets, and teacher diary notes.
• Device Identifiers & Push Notification Tokens: Firebase Cloud Messaging (FCM) tokens required to deliver real-time notifications for attendance alerts, announcements, and diary updates.
• Audio & Communication Features (Optional): When using authorized voice/audio consultation features, temporary audio stream data is transmitted securely via WebRTC. Real-time audio streams are encrypted and are not recorded or permanently retained on our servers.
• Images & Documents: Photos uploaded for student ID cards, profile photos, homework files, and official notices.

3. Purpose of Processing Data

We process collected data solely to deliver, operate, and maintain institutional workflows:

• Authenticating authorized institution staff, students, and guardians.
• Automating daily attendance tracking and guardian SMS notifications.
• Generating and issuing academic marksheets, admit cards, and tabulation records.
• Enabling digital diary sharing between teachers and parents.

4. Data Sharing & Third-Party Service Providers

We do not sell, rent, trade, or monetize personal information. Data is shared only with trusted infrastructure providers required for system operation:

• Google Firebase: Used for secure push notification transmission.
• Cloud Hosting & Storage: Secure, encrypted cloud databases and backup infrastructure.

5. Children's Educational Privacy

Rofasware School is deployed directly by schools and educational institutions. Student records and accounts are created and managed by authorized educational authorities under legitimate educational interests and institutional consent.

6. Data Retention & Account Deletion Requests

Users may request deletion of their Rofasware School login account and directly associated personal data at any time through our account deletion request page or from the Profile section inside the application. Verified requests are normally completed within 30 days.

Login credentials, active sessions, notification tokens, and directly associated profile data are deleted or anonymized. Academic, attendance, financial, safeguarding, fraud-prevention, and audit records controlled by an educational institution may be retained where the institution has a legitimate or legal obligation to preserve them. Deleting one login account does not automatically delete an institution or records belonging to other users.
